At the gym How it is today With KimonOS
New student Whoever finds you on Instagram sends a DM, and you answer when you can. Your public page at kimonos.app/your-gym shows arts, schedule and pricing, and the visitor books a trial class on their own.
Enrollment The visitor takes the trial class, likes it, and vanishes. You find out later. They land on your prospect list, the gym is notified immediately, and you follow up before they forget.
Monthly fee You put off the conversation because chasing payment from someone you train with is awkward. Invoice issued and reminder sent without you asking. The payment receipt arrives already checked.
Attendance Roll call on a clipboard, when there is time. Half the classes go unrecorded. One class photo recognizes who is on the mat and you review before posting. In classes without face recognition the student checks in on their phone, inside the gym, and the front desk enters it by hand when needed.
Belt promotion Who is ready to grade lives in your head and in a notebook nobody else reads. Time in belt and attendance counted per art, with each art's own rules. The certificate comes out as a PDF.
Student drifting away You notice a student quit once they already have. The system shows who is missing before it becomes a dropout, and the come-back invite goes out on its own.
Gi and gear You sell in the WhatsApp group and lose track of who ordered. The store lives in the student app, linking to the marketplace and counting who clicked.
Enrolled child A mother of three students has three accounts and sees nothing together. One login for all the children, switching profiles without signing out.

Public page and prospects

A new student finds you, sees the schedule and books a trial class without going through you.

Public page at kimonos.app/your-gym, with arts, schedule, pricing and a button to book a trial class.
Whoever books lands on the prospect list and the gym is notified immediately.
Pipeline by status: new, booked, showed up, enrolled, lost. Becomes a student in one click.
Reminders before and after the trial class, and re-engagement for those who stopped, automatic on WhatsApp.
AI writes the headline and the class descriptions in your gym's voice.

Enrollment

From trial class to enrollment without losing the student along the way.

Enrollment per art, each with its own plan and due date.
The student login is created right away, with the credentials sent by email.
A parent manages under-age children from a single login.

Billing

The monthly fee collects itself. You only step in to approve.

Invoice per art: whoever trains two arts has two lines.
The system reads the payment receipt and says whether it matches the invoice. You approve.
Deleting a student cancels open invoices and the subscription.
The student gets one reminder per invoice, not one per rule you enabled.

Attendance

Nobody takes roll call on a clipboard. There are three paths, and two of them are the gym's.

Face recognition, by the gym. The instructor uploads a class photo, the system recognizes who is in it, and he reviews before posting.
Location, by the student. They mark their own attendance on their phone, inside the gym and during class time.
Manual, by the gym. The front desk enters by hand whoever recognition missed or who does not use the app.
For face recognition to work, the student sends their own photo through the app and consents to its use. Nobody has a better photo of them than they do.
Face recognition is per class. In a class that uses it, phone check-in does not appear.

Belt promotion

The belt is the rule, not a text field.

Minimum time and attendance counted by each art's own criteria.
Boxing has no belt: it has a class and a weight, and the system knows that.
On promotion, the certificate comes out as a PDF signed by the gym.
The athlete profile becomes a link they can send to anyone.

Who is drifting away

You find out a student is about to quit before they do.

The system cross-references attendance, days without training and payment history.
Automatic come-back invite, by email and in-app notice.
Training streak and level show up in the student app.
The in-app store shows gis, belts and gear linking to the marketplace, and you see how many clicked.
